Every year, HR managers across the UK are handed the same task at the same time of year: organise flu jabs for employees before the autumn season. The deadline feels distant in spring. By July it is approaching quickly. By August, on-site clinic slots are filling up and some providers have stopped taking new bookings.

At FluClinic2You, we have built our service specifically for the businesses and HR teams who manage this process. We provide on-site flu vaccination clinics and a nationwide pharmacy voucher programme, with options to cover every type of workforce — office-based, remote, distributed, or any combination. A pharmacist-led service, founded and run by pharmacists, backed by five-star Google reviews from employees vaccinated at our clinics.

If you are organising employee flu vaccinations for the first time, or reviewing how you ran the programme last year, this guide covers everything you need to make a clear decision and get the right programme in place before September.

WHY FLU JABS FOR EMPLOYEES MATTER MORE IN 2026/27

Flu is one of the UK’s most common causes of short-term sickness absence. In most years, businesses absorb the disruption and move on. In 2026/27, the financial stakes are meaningfully higher.

From 6 April 2026, Statutory Sick Pay is payable from the first day of sickness absence. The Employment Rights Act 2025 removed the three-day waiting period that previously meant short flu absences cost employers nothing in SSP. A three-day flu absence now costs approximately £73.95 in direct SSP costs. A five-day absence costs £123.25.

For a workforce of 50 where 10 percent get flu, that is five absences generating approximately £493 in SSP costs alone — before any account is taken of reduced output, cover arrangements, or client impact.

A flu vaccination programme does not eliminate flu absence. Vaccines are not 100 percent effective, and some employees will choose not to participate. But every case prevented is a direct payroll cost avoided. Under the new SSP rules, the financial case for providing flu jabs for employees is stronger than it has ever been.

For a full breakdown of the SSP changes and what they mean for your payroll, see our SSP changes 2026 guide.

THE TWO WAYS TO VACCINATE YOUR EMPLOYEES

Every employee flu vaccination programme is built around one of two models, or a combination of both.

On-site clinics

A clinical team comes to your workplace and vaccinates employees on the day. There is no travel, no separate appointment, and no time taken out of the working day beyond the few minutes the vaccination takes. Employees walk in, roll up their sleeve, and carry on with their day.

FluClinic2You’s on-site clinics accommodate up to 100 employees per session, with multiple sessions available for larger teams. Walk-ins are welcome. We bring additional vaccine stock to every clinic specifically to accommodate employees who did not pre-register.

Pharmacy vouchers

Employees receive a digital or paper voucher and redeem it at a participating pharmacy at a time that suits them. Vouchers are valid at pharmacies across the UK, which means employees who work remotely, travel frequently, or are based at different locations can all participate.

FluClinic2You offers two voucher models:

Pre-pay. Vouchers are purchased upfront and distributed to employees. You pay for the number of vouchers ordered.

Pay-per-activation. Vouchers are made available to employees, but you are only charged when an employee actually redeems a voucher. If 200 vouchers are distributed and 160 employees redeem them, you pay for 160. The other 40 cost nothing.

The pay-per-activation model removes the financial risk of low uptake entirely. Employees who do not participate cost nothing. For businesses running a flu programme for the first time, or those who have been burned by unused vouchers in previous years, it removes the budget uncertainty.

Both from one provider

Most businesses with a mix of office-based and remote employees run both models simultaneously — on-site clinics at head office and vouchers for everyone else. FluClinic2You provides both under one programme, one invoice, and one point of contact.

WHICH MODEL IS RIGHT FOR YOUR WORKFORCE?

Choose on-site clinics if:

  • The majority of your team works from one location.
  • You want to maximise uptake through convenience — employees are vaccinated at their desk without leaving the building.
  • You are running a flu programme for the first time and want a visible, managed event that encourages participation.
  • You have 20 or more employees at a single site.

Choose pharmacy vouchers if:

  • Your workforce is remote, hybrid, or distributed across multiple small sites.
  • Employees work shifts or variable hours that make a single clinic day impractical.
  • You want a flexible option employees can use at a pharmacy near them, in their own time.
  • You want to avoid paying for vouchers employees do not redeem (pay-per-activation removes this risk).

Choose both if:

  • You have a head office team and remote or field-based workers.
  • You want to maximise overall uptake across the entire workforce.
  • You have multiple sites where a full on-site clinic is not practical at every location.

WHAT TO LOOK FOR WHEN CHOOSING A PROVIDER

The corporate flu market includes large corporate health companies, high street pharmacy chains, and specialist providers. They all promise to protect your employees. The differences are in the detail.

Before committing to a provider, these are the questions that will tell you the most:

  • Vaccine ordering. If you run an on-site clinic, do you commit to a fixed number of vaccines upfront and pay for unused doses if attendance is lower than expected? Or does the provider bring additional stock and charge only for vaccinations actually given?
  • Voucher model. Are vouchers pre-pay only, or is pay-per-activation available? If uptake is unpredictable, pre-pay means paying for vouchers employees never use.
  • Clinical oversight. Who will be on-site at the clinic? Can clinical questions about medication interactions be answered on the day, or are employees referred back to their GP?
  • Capacity and flexibility. Can the provider scale to your team size? Can they accommodate walk-ins on the day?
  • Independent reviews. Does the provider have reviews specifically from the flu vaccination experience — from employees who have sat in the chair and been vaccinated? Not general corporate health reviews, not a rebooking rate. Reviews from people who have actually been through the process.
  • Pricing transparency. Do you receive a clear total cost before committing? Or do additional charges appear at invoice stage?

WHEN TO BOOK FLU JABS FOR YOUR EMPLOYEES

A desk calendar with September dates circled in green alongside a FluClinic2You branded confirmation card, representing the seasonal booking deadline for HR managers organising employee flu vaccinations

The flu season typically runs from October through to February in the UK, with the highest-risk period in December and January. Vaccination should take place in September and October — it takes up to two weeks for the vaccine to take full effect, so early vaccination gives your workforce the best protection through the peak months.

On-site clinic availability tightens from July onwards. Businesses that wait until September to start the process often find their preferred dates are already taken.

The voucher programme can be set up more quickly, but distributing vouchers early gives employees the maximum window to redeem them before the season begins.

Booking now — in May or June — secures your preferred dates and ensures everything is in place before the summer break.

Frequently Asked Questions

Do I have to offer flu jabs to my employees?2026-06-14T22:00:53+01:00

There is no legal requirement to provide flu vaccinations for employees in the UK. However, employers have a general duty under health and safety legislation to take reasonable steps to protect employee health. Following the 2026 SSP changes, flu-related absence now generates payroll costs from day one, which strengthens the financial case for providing a programme.

Can employees choose not to have the flu jab?2026-06-14T22:01:14+01:00

Yes. Flu vaccination is voluntary. No employer can require an employee to be vaccinated. The role of the employer is to make vaccination available and accessible. Both FluClinic2You’s on-site clinic format and pharmacy voucher programme are designed to make participation as easy as possible.

How many employees do I need to run an on-site clinic?2026-06-14T22:01:34+01:00

FluClinic2You has no minimum headcount. On-site clinics can accommodate up to 100 employees per session. For smaller teams, the pharmacy voucher programme is often a more practical option.

What vaccines does FluClinic2You offer beyond flu?2026-06-14T22:01:55+01:00

In addition to flu vaccination, FluClinic2You also offers Covid, Hepatitis B, Pneumonia, RSV, and DTP vaccines. Call 020 3411 5565 to discuss your full vaccination requirements for the 2026/27 season.

How do pharmacy vouchers work for employees?2026-06-14T22:02:15+01:00

Employees receive a digital or paper voucher which they take to a participating pharmacy. The pharmacy administers the flu jab and processes the voucher. FluClinic2You’s vouchers are redeemable at 2,000+ pharmacies across the UK. Many pharmacies offer early morning, evening, and weekend appointments, so employees do not need to take time off work.

What is the difference between pre-pay and pay-per-activation flu vouchers?2026-06-14T22:02:36+01:00

With pre-pay, the employer pays upfront for a set number of vouchers. With pay-per-activation, the employer is only charged when an employee actually redeems a voucher. Pay-per-activation removes the financial risk of low uptake — employees who do not participate cost nothing.

How much do flu jabs for employees cost?2026-06-14T22:03:12+01:00

FluClinic2You’s voucher pricing is published on the website. On-site clinic pricing is quoted per enquiry based on team size and requirements. Call 020 3411 5565 or visit fluclinic2you.com/get-vaccinated for a quote specific to your business.

When does the corporate flu vaccination season start?2026-06-14T22:03:35+01:00

Corporate flu vaccination programmes typically begin from September. On-site clinics are most in demand from September through to November. Vaccinating early in the season gives employees the best protection before the December and January peak.

Can I use FluClinic2You for multiple offices or sites?2026-06-14T22:03:58+01:00

Yes. On-site clinics can be run across multiple locations, and pharmacy vouchers cover employees at any site or working location across the UK. Many businesses run on-site clinics at their main office and pharmacy vouchers for remote or distributed staff.
